A RESOLUTION TO APPROVE TIIE
ACCOUNTS PAYABLE POLICY
WHEREAS, the City of Fairfax, Iowa has many different types of accounts payable bills
to pay and there are required payinents which cannot wait for the cou�Icil meeting date to be paid;
and
WHEREAS, the City Council of City of Fairfax, Iowa, has authority to approve accounts
payable bills each month; and
WHEREAS, some aecounts payable iteins inust be paid online and others ai•e paid with an
automatic withdrawal ft-om the City of Fairfax's checkiilg account; and
WHEREAS, the city clerk is requesting authority to pay the following bills when due, to
avoid delay and/or penalties priar to City Coui7cil approval. All bills paid as sucll will be placed
on the next claims listing for City Council action, payment will follow all state laws, and bE subject
review and audit:
• All payroll expenses which include checks or direct deposits to einployees, federal
withholding, FICA, IPERS, and state withholding
• Payroll benefit or deduction insurance coverages which include Unitedhealthcare,
Reliance Standard, AFLAC, Colonial Life, and Globe Life
� City of Fairfax utilities which include Alliant Energy, City of Fairfax, South Slope,
US Cellular, Mid-Ainerican Energy, and Linn County REC
• Required payinents to the State of Iowa for Sales Taxes and WET
• Required debt payinents (P&I) and debt processing fees
• Postage costs to inake timely inailings
NOW, THEREFORE, BE IT RESOLVED, by the City Council of the City of Fairfax,
Faiz-fax, Iowa, that they approve this Accounts Payable Policy.
BE IT FURTHER RESOLVED, by the Fairfax City Council of the City of Fairfax, Iowa,
that the Mayor and City Clerk/Treasurer are hereby directed to certify this resolution of approval.
