HomeMy WebLinkAboutRESOLUTION NO. 2004-35 RESOLUTION CITY CREDIT CARD POLICY WHEREAS, the City of Fairfax has discussed the benefits of the purchasing card program which is to provide an efficient, cost-effective method of purchasing, reserving, guaranteeing and purchasing; and, WHEREAS,having six (b) City Charge Cards—(Mayor;, City Clerk,Deputy City Clerk, two (2)Maintenance Men)with Elan Visa at a credit limit of$2,000.00 and (Librarian)Elan Visa at a credit limit of$1,000.00; and, WHEREAS,in the best interest of all is to implement a credit card policy which follows: Po_lice 1.When not in use, cards will be kept in a secure location; 2.Each transaction can be no more than five hundred dollars($5010.00). Any exceptions to this limit shall be made in writing and approved in advance by the Mayor; 3.Employee use of the card will require that all detailed transaction receipts and documentation be returned to the City Clerk for payment; 4.Employee will be responsible for all activities of the card when it is in their control.No personal items shall be charged on the card.No exceptions to the policy will be allowed for purchases made for lost or stolen cards that have not been reported to the financial institution issuing the card; 5.There will be no charging of liquor when away on City business; b.Any misuse or variance from the procedures established for use of the card will not be allowed, and if proven,may result in disciplinary action including termination; and, WHEREAS,All Resolutions or parts of Resolutions in conflict with the provisions of this Resolution are hereby repealed; and, NOW THEREFORE BE IT RESOLVED,by the City Council of Fairfax, Iowa that the Mayor and the City Clerk are hereby authorized and directed to execute said Resolution.
