RESOLUTION SETTING PUBLIC HEARING FOR PLANS AND SPECIFICATIONS,
FORM OF CONTRACT,AND ESTIMATED COST AND SETTING THE DATE AND
TIME TO RECEIVE BIDS FOR THE FAIRFAX TRAIL PROJECT
WHEREAS, the City of Fairfax has the desire to connect the area north of Prairie Creek
and the area south of Prairie Creek with a trail; and
WHEREAS,the City of Fairfax was previously awarded a grant for a portion of the costs
of the Fairfax Trail Project; and
WHEREAS, the City of Fairfax has instructed Hall and Hall Engineers, Inc. to proceed
with the plans for the Fairfax Trail Project; and
WHEREAS, the City of Fairfax is required to have a public hearing on the plans and
specifications, form of contract, and opinion of estimated cost of the Fairfax Trail Project.
NOW, THEREFORE, BE IT RESOLVED that the public hearing for the plans and
specifications, form of contract, and estimated cost for the Fairfax Trail Project shall be held at
the city council meeting on Tuesday, November 12, 2013, at 7:00 PM at the Fairfax City Hall at
525 Vanderbilt Street.
BE IT FURTHER RESOLVED, by the City Coiancil of the City of Fairfax, Iowa, that
sealed bids shall be received by the Iowa Department of Transportation (IDOT), Office of
Contracts, 800 Lincoln, Way, Ames, Iowa 50010 by 10:00 AM CDT on December 17, 2013.
Mailed bids are to be sent to the office of Contracts at the address above. IDOT personnel will
be available the day prior to the letting and day of the letting for the dropping off of bids during
regular business hours of 7:30 AM to 4:30 PM. The IDOT uses the Bid Express website —
www.bidx.com — as an official depository for electronic bid submittal. The IDOT will ensure
this depository is available for a two-hour period prior to the deadline for submission of bids. If
there is an interruption of communications or loss of service by Bid Express during this two-hour
period, the IDOT will delay the deadline for bid submissions to allow potential bidders to submit
bids. Instructions will be communicated to potential bidders. Opening and reading of the bids
will be performed at the Office of Contracts after 10:30 AM on December 17, 2013, unless
otherwise specifiedby the Iowa DOT.; and
BE IT FURTHE R RESOLVED, by the City Council of the City of Fairfax, Iowa, that
the Mayor and City Clerk/Treasurer are hereby authorized and directed to execute said
Resolution.
